Obstacles, Solutions, And Strategies For Filing Out The IRS Of 2021/2022 Odd Semester

Semarang—Students of the Undergraduate Communication Science Program had started filling out the IRS (Study Plan Filling) for 2021/2022 Odd Semester through Undip‘s SIAP (Academic Information System) from July 15, 2021, to August 13, 2021. As with the previous IRS, students must wait for the opening of the available class or course quota and select the desired class. Several students shared their experiences when filling out the IRS.

“This odd semester IRS filing is a bit confusing, the forms of information conveyed to students vary, starting from the date of filling out the IRS, what form of filling out the IRS is. The form of directive communication is not clear,” said Daffa Satriowibowo, a 2018 Communication Science student.

Meanwhile, Nadia Audy Janatun’adn, a 2019 Communication Science student who served as Head of the Communication Science Student Association Advokesma Department, had problems accessing the SIAP website, which was often down due to the large number of students accessing it simultaneously. Overall, Nadia admitted that her IRS filing was still going well.

According to the Head of Undergraduate Communication Science Study Program, Rouli S. Manalu, information regarding filling out the IRS was sufficient and that filling out the IRS was not something difficult. Students from the beginning had been directed how to fill out the IRS. Lecturers did not take care of filling out the IRS because they were part of the academic department. Meanwhile, filling out the IRS was an administrative part. She hoped that in the future students would be more proactive and were able to take care of themselves so that Communication Science students would be well-informed with the existing schedules and courses.

“In other words, the student experience is accumulated because they add courses every semester,” said the lecturer who was familiarly called Mbak Uli in the Communication Sciences environment. “After all, students learn to be adults, they must be independent, they may ask questions, but independent information seeking is important,” she said.

One thing related to filling out the IRS was that the Head of the Undergraduate Communication Science Study Program felt very helped by the Study Program Student Association (HMPS), especially the Advokesma who organized each batch and checked those students whose classes clashed. “Thanks to the HMPS, especially Advokesma so that they can manage, the study program admin is greatly helped for my notes this semester. Very helped and grateful with the HMPS,“ continued Mbak Uli.

Nadia as part of the Advokesma explained that her party had provided direction for students to fill out the IRS for odd semesters by providing information on the academic calendar for filling out the IRS. Currently, the Advokesma continued to coordinate with the Head of the Study Program to overcome problems during filling out the IRS, such as conflicting course schedules and class quotas that were already full.

Uli Zahro Irsyadiah, an Advokesma Staff of Communication Science Student Association, explained that the study program recommended that students, especially those whose class schedules collide, as much as possible find friends who wanted to exchange schedules.

“Until now, we are still updating the data recap and reporting to the study program admin for the process of unlocking the IRS for students who want to exchange, but it has already been approved by the academic adviser. For the full quota, so far, no class has run out of quota, so far, the courses schedule are just still clashing,” she explained.

She also provided a special strategy for students to maximize the IRS data entry process, namely in choosing course hours, they could discuss it with other students so that they could choose classes at the desired time. Before filling out the IRS, students were encouraged to read the Academic Guidelines book to reduce the possibility of choosing the wrong course.

“Fill out the PBM evaluation before filling out the IRS because it takes a lot of time. You have to check the SIAP web often because this semester there is no notification, the classes that are opened are not all courses, you have to check the SIAP web often,” said Nadia who also shared her strategy in filling out the IRS.

“Quickly take the course when the class has opened, don’t know when it will be full, you have to take the class immediately so it won’t be a problem,” she concluded.
